SECURE PDF

In an ever-changing workplace, our mission is to empower organisations to take control over their digital data assets regardless of who they are distributed with or what platform they reside in.

The Secure PDF solution is an industry standard PDF that incorporates encryption, security controls and authentication core to the Secure PDF Platform in order to provide domain level control over an organisations assets regardless of what system or environment they reside in.

The rapid evolution of the way in which we work and access data is making the traditional approach to protecting documents (protecting the environment and perimeter) less and less relevant.

Datasec’s focus is on embedding the encryption and protection within a document in a way that ensures any control is applied to the lifecycle of the document regardless of where it resides or how it is distributed.

  • A PDF add-on which enables the user to apply persistent encryption, security controls and appropriate levels of authentication.

  • The server side connector, desktop application or client connector (print to PDF) will enable any client to create a protected PDF. In addition to creating persistent encryption, security controls, access rights and restrictions can be easily applied by the organisation or user.

  • Setting up conditional access based on sensitivity or security controls is simple and allows a more frictionless experience.

  • Secure PDF ensures the document retains domain level control regardless of where it is saved or accessed. Providing maximum compatibility with industry specific solution or cloud storage environments.

KEY BENEFITS

CREATE

Protected Secure PDF files

Can be created in a number of ways that align to the workflow of the user and organisation.  These include an installed printer that can be ‘printed to’ from any application, a batch connector which processes files from any range of applications or through the Secure PDF application resident on the printer.

The universal format

Ensures interoperability with existing systems, infrastructure and storage systems as the protected PDF’s can be put into any solution without additional connectors or modification.  All workflows, rules, authentication etc, required to protect and access the PDF are contained within the protected PDF.

Separate decryption keys

Modular encryption engine catering for AES, DES or RSA provide maximum security for every asset.

Persistent encryption

Ensures the file is protected every time it is accessed and the associated controls cannot be uncoupled once created.

Trust

A trusted network whitelist provides peace of mind to the receiver knowing that the file was indeed sent by the claimed organisation or user

ACCESS

Access Control

Access control is aligned to the sensitivity of the document through security controls set by the organisation.

Scalable and secure authentication systems

Cater for a range of authentication solution including Email OTP, Secure SMS, strong Two-Factor Authentication (via smartphone app), strong Three-Factor Authentication (with biometric).

Dynamic user registration

Recipients who are not yet provisioned with online verification to ensure only the intended recipient has access to the asset.

Linked to the organisational Identity Management System

Ensures changes in circumstances (e.g. retrenchment) take immediate effect in regards to access.

Frictionless

Provisioning of SAML tokens, SSO or system authentication ensure minimal friction in trusted environments or facilitate interoperability with existing and 3rd party solutions.

Authenticity, Trust and Non-Repudiation

Authentication of the creator and recipient ensure bilateral trust as to where the file originated and who it is accessed by.

CONTROL

Security Controls

Allow the organisation to define the varying security levels and set how each type of file should be handled.

Flexible Control

Control is flexible and includes things such as when the file can be accessed, by who, how many times, whether it requires collaboration or a response, when the file is to be retired, whether it can be saved, etc.

Immediate effect

Any organisational change to the Security Controls takes immediate effect regardless of where the document resides.

Corporate or User Controls

Users can select a predefine Security Control or modify these rules every time they create a file.

Persistent Control

Security Controls are a core part of the Secure PDF design and therefore enable an organisation to extend their domain level control regardless of where the file resides.
